Privacy policy

ZenKaizen is run by Richard Thorn, based in the United Kingdom, at Whitegates, Main Street, Wick, Pershore, WR10 3NZ (“we”, “us”, “our”). We are the data controller for the personal data described in this policy.

Account information: your name, work email, company name and role, provided when you or your organisation’s Admin creates an account.

Usage data: the ideas, comments, statuses and other content your organisation creates in ZenKaizen, plus basic activity logs (sign-ins, actions taken) used for security and support.

Payment information: payments are handled by Stripe, our payment processor. We never receive or store your full card details; we hold only what Stripe gives us for billing, such as your subscription status and invoices.

Demo requests: the name, company, email and phone number you give us when you ask for a demo.

We use your information to provide and maintain the service, process payments and manage your subscription, contact you about your account, answer support requests, and keep the platform secure. If you ask for a demo, we use your details to arrange it. We do not sell your personal data.

Where UK or EU data protection law applies, we process your personal data because it is necessary to perform our contract with you (providing the service you subscribed to), to meet legal obligations (such as tax and accounting records), and for our legitimate interests in running and securing the platform, balanced against your rights. We use advertising cookies only with your consent.

We use a small number of trusted providers to run ZenKaizen: Stripe for payments; Supabase (on Amazon Web Services) for the application and database; Cloudflare for hosting the website and app; Google Workspace for email; and, only if you accept advertising cookies, Google Ads to measure our adverts. These providers process data on our instructions to deliver the service. We don’t share your data with anyone else unless the law requires it.

Some of these providers may process data outside your country, including in the United States. Where that happens we rely on appropriate safeguards, such as Standard Contractual Clauses or the provider’s certified transfer mechanisms, to keep your data protected.

We keep your information while your account is active and for a reasonable period afterwards to meet legal, accounting or reporting obligations, or to resolve disputes. You can ask us to delete your account data at any time, subject to those obligations.

Depending on where you live, you may have the right to access the personal data we hold about you, correct it, ask for it to be erased, object to or restrict some processing, and receive it in a portable format. In the UK or EU you can also complain to your data protection authority (the ICO in the UK) if you think we have mishandled your data. To use any of these rights, contact us using the details below.

Essential cookies keep you signed in and remember your cookie choice. They don’t need your consent.

Advertising cookies from Google Ads tell us which adverts brought you to ZenKaizen, for example when you request a demo or start a trial. They are set only if you choose “Accept advertising cookies”, and you can change your mind at any time with “Cookie settings” at the bottom of every page.

ZenKaizen is a workplace tool for business use. It is not aimed at, or intended for use by, children.

We may update this policy from time to time. If we make material changes, we’ll tell you by email or in the platform before they take effect. The date at the top of this page shows the latest version.
